How Do I Remove Metadata from Word-Processing Files before Filing or Sharing Them Electronically?

 

To remove personal information, hidden text, and other metadata before filing or sharing a document electronically, follow the instructions below.

CAVEAT: Although the steps below should remove basic metadata and the form instructions from most documents, electronic files contain all manner of metadata. It's wise to familiarize yourself with the types of data stored by any software you use in the types of files you plan to share and reasonable measures available to remove that data before sharing.


  • MS Word for Windows

    Word versions 2007 and later include the "Inspect Document" tool, which may be used to remove personal information, hidden text, and other metadata before filing files electronically.

    1. Go to File > Info > Check for Issues > Inspect Documents (Alt + F + I + I + I).

    2. In the "Document Inspector" window that opens, select the categories desired by checking the appropriate boxes (be certain to check the "Hidden Text" box to ensure that any remaining red, hidden instructional text in the document will be also be detected) and click the "Inspect" button.

    3. In the second "Document Inspector" window that opens, review and remove any metadata found as desired.

  • Word for Macintosh

    With Word for Macintosh, removing author information and hidden text are separate tasks.

    1. To remove author information—

      1. from the Word menu, select Preferences > Personal Settings > Security > Privacy options;

      2. check the "Remove personal information from this file on save" box; and

      3. save the document.

    2. To remove hidden text—

      1. follow the separate instructions in these FAQs to show hidden text in Word for Macintosh;

      2. follow the separate instructions in these FAQs to globally delete all instructions set as red hidden text in Word for Macintosh; and

      3. if any hidden text remains from other sources, manually delete that text as desired.

  • WordPerfect

    WordPerfect versions X3 and later include the "Save Without Metadata" tool, which may be used to remove comments, hidden text, and other metadata before filing files electronically.

    1. In the WordPerfect menu, select File > Save Without Metadata (Alt + F + M).

    2. In the "Save Without Metadata" window that opens, select the categories desired by checking the appropriate boxes (be certain to check the "Hidden Text" box to ensure that any remaining red, hidden instructional text in the document will also be removed).

    3. Click the "Save" button.
